Destination Wedding Planning Fee Structure

Planning a destination wedding involves many moving parts, from choosing the right location to managing travel for your guests. As your TICO certified travel advisor, I provide professional expertise, time, and support to make the process stress-free and seamless.

Below is an outline of the professional fees that may apply to your wedding planning. All fees are separate from supplier costs (airfare, accommodations, wedding packages, excursions, etc.) and are non-refundable.


1. Initial Consultation Fee

  • $150 (credited towards planning fee if you book with me)

  • Covers initial meeting, discussion of destination options, review of legal requirements, and resort comparisons.


2. Planning & Coordination Fee

  • From $500.00 – $2,000.00 depending on size and complexity of the wedding.

  • Includes:

    • Custom planning webpage

    • Resort selection and booking

    • Timeline and checklists for the couple

    • Supplier communication (photographer, florist, DJ if required)Resort selection and booking

    • Coordination with on-site wedding planner

3. Guest Management Fee

  • $50.00 per guest or $75.00 per couple

  • Includes:

    • Custom guest webpage (see sample page here)

    • Custom intake forms (based on the guest email addresses you provide)

    • Managing RSVPs and guest lists

    • Handling individual bookings and payments

    • Special requests and rooming assignments

    • Communicating group updates


4. Change & Cancellation Administration Fees

  • $50.00 per change request outside of supplier fees

  • $150.00 wedding cancellation administration fee (in addition to supplier penalties)


5. On-Site Travel Support (Optional)

  • Available upon request

  • Daily rate of $500.00 plus travel expenses (air, hotel, transfers)

  • Ensures I am present at the destination to coordinate logistics and support you and your guests directly


6. Additional Event Coordination (Optional – if not provided by the resort)

  • From $150.00 per event (e.g. welcome party, rehearsal dinner, farewell brunch, group excursions)


7. Premium White-Glove Service (Optional)

  • From $500.00

  • Includes 24/7 access, custom itineraries for guests, and a higher level of personal attention

  • Arrange for guest gifts

Payment & Disclosure

  • All fees are due at time of agreement and are non-refundable.

  • Supplier costs (flights, accommodations, wedding packages) are quoted separately.

  • Fees are collected by Trevello Travel Group, a TICO certified agency.
